Do you feel like all you do is work in or on your spa business? If you feel like you are completely overwhelmed, working way too much and basically not loving what you do anymore this is a huge red flag that you need to start systematizing.
Usually what has happened is you started your business, and it was small enough that you could create your own little systems as you went along, and it felt ok "going with the flow".
However, as you might be noticing, not having a proper system from the beginning can create problems down the road. Maybe you’re finding that you don't have time to return phone calls, or if you have a team you might not have enough time to recruit properly and are ending up with bad hires. Maybe you’ve already hired, but you’re frustrated with new team member…because you don't have time to train them correctly.
Whatever it is that’s frustrating you or getting you down in your spa business; this is the sign that you need to create more systems in those areas.
I'm not saying that you need a system that’s so structured that there’s no flexibility in it. What I am saying is that there needs to be a repeatable system in place that gives you the results that you are looking for so you don't have to keep reinventing the wheel!
Systems truly make your life as a spa owner and leader so much easier. Once you have the system set up and running, all you need to do is nurture it! It's just like Jim Collin’s Flywheel Concept from the book "Good To Great" that I’ve talked about in previous blogs. It takes a lot of effort to get that heavy flywheel started and moving.
When we relate this analogy to your spa business, this is the effort it takes to create and implement a system. But once you get it moving, you only need little pushes to keep it going. This is wayyyyy easier than having to push-start a big heavy wheel every time. Here are four examples of systems that make you life at work much easier.
4 Systems You Need For Your Spa
Client Retention System – If you are putting all your time and effort into marketing and you can't retain the clients you are bringing in, then you’re simply wasting your time and money on marketing. Start with your Client Retention System then build your Marketing System.
Recruiting and Hiring system – If you have a team, you need a system to bring in great talent…consistently.
Training System – Once you bring in that talent, you need a training system that is consistent with every new hire so everyone is on the same page in terms of company culture, policies & protocols. And don't for one second think that just because you have hired great talent that they don't need training. Excellent training will help you retain great talent.
Marketing System – This can be as easy as creating a content calendar for the next three months and then re-purposing some of that content for email, social media and in-spa marketing. Many of you are also not taking advantage of video!!! This makes me crazy because it’s literally the easiest way to get social reach! IGTV and Instagram or Facebook lives allow for imperfectly perfect (yes, it’s not supposed to be perfect!) authentic visibility. I understand that it may feel uncomfortable and you don't want to be visible, but here's the deal - if you want clients, you have to be visible.
If you’re just getting started with your spa business you likely don't have a lot of clients on the books, but you do have a lot of time - time you can create systems for a business to grow into. It’s kind of like building infrastructure (wide streets & beautiful large parks) into a new community that anticipates a much larger population.
However, if you’re already super busy and you don't have much (or any!) time to create a system it usually means that you have more clients and money than time. This where you need to start outsourcing some of those system to-do that you can’t complete.
